Artificial intelligence can help a small business write a Facebook post, but that is only scratching the surface of what these tools can do.

Used strategically, AI can help businesses identify sales opportunities, follow up with leads, create promotions, analyze customer feedback, improve sales messaging, develop email campaigns, review sales data, and find ways to bring previous customers back.

The challenge is knowing which AI tool to use, and what to ask it.

Not every AI is equally useful for every task. Some are particularly strong for brainstorming and marketing. Others are more useful when working with documents, email, spreadsheets, customer databases, graphics, or online stores.

Here is a practical guide for Chamber members who want to begin using AI to help generate more business.

ChatGPT is especially useful when you need help thinking through a business problem rather than simply generating a sentence or two.

OpenAI currently positions ChatGPT for business uses including sales research, personalized outreach, marketing content, campaign development, analytics, reporting and customer insights.

Instead of asking:

Write a Facebook post for my business.

Give it enough information to understand the business objective.

Better Prompt

Act as a marketing strategist for a locally owned HVAC company.

Our customers are homeowners within a 15-mile radius. We want to increase air-conditioning maintenance appointments during a traditionally slow month.

Develop a promotional offer that encourages customers to schedule within the next 14 days without relying on a large discount.

Give me:

a promotional concept, a Facebook post, an Instagram post, an email to existing customers, a short text message and a clear call to action.

Keep the tone friendly, trustworthy and local. Avoid sounding pushy or overly promotional.

That one conversation could produce most of a small campaign.

Use ChatGPT to Find Sales Opportunities in Your Data

If you have a spreadsheet containing sales information, AI can help you look for patterns that might otherwise be missed.

For example:

I am going to upload my sales report for the past 12 months.

Analyze the data as a small-business sales consultant.

Identify:

which products or services generate the most revenue, which have the highest growth, which months are strongest and weakest, any products that appear to be declining, opportunities for bundles or cross-selling, and three specific things I could test during the next 30 days to increase revenue.

Do not simply summarize the spreadsheet. I want recommendations based on what the numbers show.

That is far more useful than asking AI, “What do you think about my sales?”


Claude: Useful for Turning Large Amounts of Information Into a Sales Strategy

Claude can be particularly useful when you have substantial information to work through such as customer notes, proposals, company documents, campaign material, reports, or other longer content.

Anthropic has also expanded Claude specifically for small businesses, including workflows that can connect with business tools such as HubSpot, Canva, QuickBooks, Google Workspace and Microsoft 365. Its marketing tools support campaign planning, brand review, competitive positioning, email sequences and performance reporting.

Imagine that your company has received 50 customer reviews.

Instead of reading every review and guessing what customers care about most, you could provide the reviews and ask:

Analyze these customer reviews as a marketing strategist.

Identify the five things our customers value most about our company.

Also identify recurring complaints, questions, concerns or objections.

Based only on this information, recommend:

three messages we should emphasize in our advertising, three improvements we should consider, five social media topics and three potential promotional offers.

Use the actual themes in the customer feedback rather than generic marketing advice.

Now customer feedback becomes marketing intelligence.


Gemini: Particularly Helpful for Businesses Using Google Workspace

For businesses that already operate in Gmail, Google Docs, Sheets and Drive, Gemini can be particularly convenient because AI capabilities are integrated into the tools employees are already using.

Google currently highlights Gemini for small businesses for tasks including email, content generation, market research, spreadsheet analysis, sales proposals and customer communication. Gemini in Sheets can also help analyze business data and identify trends using natural-language requests.

For example, imagine you track customers or prospects in Google Sheets.

You might ask Gemini:

Analyze this sales sheet and identify customers who have purchased more than once but have not purchased within the last six months.

Group them by the type of product or service they previously purchased.

Suggest one appropriate re-engagement offer for each group.

You have just turned an old customer list into a potential sales campaign.

Gemini can also be useful inside Gmail.

After a sales conversation or email thread, you could ask:

Summarize the customer’s main needs, concerns and unanswered questions from this email conversation.

Draft a short follow-up email that addresses those issues and recommends the most logical next step.

Do not pressure the customer. Keep the message conversational and professional.

That can make consistent follow-up much easier.


Canva: Use AI to Turn the Offer Into Something Customers Will Notice

The written offer is only part of marketing.

Someone still has to create the flyer, advertisement, social graphic or promotional image.

That is where Canva’s AI features can be useful.

Canva’s Magic Studio includes AI-assisted content creation and image editing, along with tools that can help adapt creative materials into different formats.

Suppose a restaurant creates a weekday lunch promotion.

A useful Canva prompt might be:

Create a clean promotional graphic for a locally owned Mexican restaurant advertising a weekday lunch special.

The design should feel warm, modern and appetizing rather than like a fast-food advertisement.

Leave clear space for:

“Weekday Lunch Special”

Monday–Thursday

11 AM–2 PM

$12.99

Include a strong area for a call-to-action.

Format the design for Instagram.

Once the concept is established, the same campaign can be adapted for other sizes and marketing materials.

The important point is that AI does not need to create the entire promotion. It can shorten the time between having an idea and actually getting that idea in front of customers.


Mailchimp: Use AI to Get More Value From Your Existing Customer List

Businesses often focus heavily on attracting new customers while overlooking people who have already bought from them.

Your existing email list may be one of your most valuable sales assets.

Mailchimp currently offers AI-assisted copy generation, subject-line assistance, campaign recommendations and send-time optimization based on subscriber engagement.

One strategy is to create a re-engagement campaign.

Prompt

Write a three-email re-engagement campaign for customers who have not purchased from us in at least six months.

We are a locally owned [TYPE OF BUSINESS].

Email one should reconnect without offering a discount.

Email two should highlight something customers may not know we offer.

Email three should include a limited-time incentive to return.

Each email should be short, conversational and have one clear call to action.

Give me three subject-line choices for each email.

Notice that the prompt asks AI to develop a sequence, not merely one promotional email.

That creates an actual sales strategy.


HubSpot Breeze: Useful When Your Business Has a Sales Pipeline

For companies with multiple prospects, sales representatives or longer sales cycles, AI becomes particularly valuable when connected to the CRM.

HubSpot’s Breeze tools can help businesses qualify leads, score prospects, identify buying signals, personalize outreach and analyze sales pipeline activity.

That changes the question from:

“Who should we call today?”

to something closer to:

“Which prospects are showing the strongest signs that they may be ready to buy?”

For example:

Identify leads that have engaged with our business during the last 30 days but do not currently have a scheduled follow-up.

Prioritize them by level of engagement.

For the highest-priority prospects, summarize their activity and suggest the next best sales action.

For businesses handling dozens or hundreds of prospects, this is where AI can become much more than a writing tool.

It can help determine where the sales team should spend its time.


Shopify Sidekick: AI Built Specifically for Online Sellers

For a Shopify merchant, using a general AI tool for every question may not make sense when an AI assistant can work within the context of the store itself.

Shopify Sidekick can currently help merchants analyze store data, manage products, create discounts and collections, produce marketing content and answer questions about store performance. Shopify even provides examples such as analyzing pricing, creating email campaigns, reviewing marketing mix and summarizing weekly performance.

A retailer could ask:

Recommend three promotions designed to increase average order value without simply discounting everything.

That is a very different use of AI from asking it to write another Instagram caption.


Ask AI to Help You Sell More to Existing Customers

One of the simplest ways to increase revenue is to determine what else an existing customer might reasonably need.

This applies to almost every industry.

A landscaper might offer seasonal cleanup.

A photographer might offer prints or albums.

An auto repair shop might create maintenance reminders.

A salon might offer complementary services.

A restaurant might create catering packages.

A bookkeeping company might introduce payroll services.

Try this prompt in ChatGPT, Claude or Gemini:

I own a [TYPE OF BUSINESS].

These are the services we currently offer:

[LIST SERVICES]

Our typical customers are:

[DESCRIBE CUSTOMER]

Identify 10 realistic opportunities to increase the average amount each customer spends.

Separate your recommendations into upsells, cross-sells, bundles, recurring services and loyalty opportunities.

Do not recommend products or services that would require us to completely change our business model.

Now you are asking AI to think about revenue per customer, not simply advertising.


Use AI to Bring Old Customers Back

Another overlooked opportunity is customer reactivation.

Try:

Act as a customer-retention strategist.

I own a [BUSINESS].

Customers typically purchase from us every [TIME PERIOD].

Develop a campaign specifically for customers who have not returned within [TIME PERIOD].

Give me a reason to contact them that provides genuine value rather than simply saying “We miss you.”

Create an email, text message and social media retargeting message.

Suggest an offer, but avoid automatically recommending a percentage discount.

That last instruction matters because discounting is not always the best answer.

AI might suggest early access, a bonus, a bundle, a complimentary upgrade, a loyalty reward, an educational consultation or another incentive that preserves more profit.


Use AI to Improve Your Website’s Sales Message

Many businesses have websites that explain what they do but never clearly tell customers why they should choose them.

Copy your homepage text into an AI tool and ask:

Review this website homepage from the perspective of a potential customer.

Answer these questions:

Within five seconds, is it obvious what this company sells?

Is it obvious who the service is for?

Is the primary customer benefit clear?

Is there a strong reason to choose this company?

Is there an obvious next step?

Identify confusing or generic wording.

Rewrite only the sections that need improvement. Keep the company’s personality and do not make the writing sound exaggerated or salesy.

This can reveal problems that are difficult to notice when you have looked at your own website hundreds of times.


Use AI to Prepare for a Sales Call

AI can even help before an important customer conversation.

Try:

I have a sales meeting with a potential customer tomorrow.

My company provides [SERVICE].

The prospect is a [TYPE OF COMPANY].

They are currently considering [PRODUCT OR SERVICE].

Help me prepare.

Give me the 10 questions I should ask to understand their needs, five objections I should be prepared to answer, three ways to explain our value without criticizing competitors, and a recommended next step to ask for at the end of the meeting.

You can go one step further:

Now pretend you are the customer.

Conduct a practice sales conversation with me.

Ask realistic questions and raise objections. Do not make the customer too easy to convince.

That turns AI into a low-pressure sales practice partner.


Use This Formula to Get Better AI Results

The quality of the answer often depends heavily on the quality of the question.

Instead of giving AI a five-word command, provide context.

A strong business prompt usually tells the AI:

Who it should act as + what your business does + who the customer is + what you want to accomplish + important information + the deliverable you want + the tone + any limitations.

For example:

Act as a small-business marketing strategist.

I own a family-operated pest-control company serving homeowners in Jurupa Valley.

Our strongest advantage is responsive local service. We do not want to compete by being the cheapest company.

Our goal is to generate 20 new recurring-service customers during October.

Our average customer is a homeowner between 30 and 65.

Develop a 30-day campaign using Facebook, Instagram and email.

Give me the campaign theme, offer, posting schedule, six social posts, two emails and a follow-up message for people who inquire but do not schedule.

Keep the language friendly, straightforward and local. Do not use exaggerated claims or corporate marketing language.

Compare that with:

“Give me marketing ideas for a pest-control company.”

The difference in the results can be enormous.


One of the Best Prompts You Can Give AI

There is another useful question business owners should get into the habit of asking:

Before you give me your recommendation, ask me the questions you need answered to understand my business, customer and sales goal.

Instead of guessing, the AI begins interviewing you.

You can also finish almost any marketing conversation with:

What am I overlooking?

Or:

If my goal is to increase sales rather than simply increase engagement, what would you change about this plan?

Those questions often shift the conversation away from likes, views and activity and back toward the thing that matters:

customers and revenue.

A Simple 30-Minute AI Sales Routine

Business owners do not have to completely redesign their companies around artificial intelligence.

Start with 30 minutes each week.

Spend the first few minutes reviewing sales, customer questions, reviews or recent inquiries with AI and asking it to identify opportunities.

Next, choose one opportunity and use AI to develop an offer or sales strategy around it.

Finally, create the email, social media message, follow-up communication or promotional material needed to put that idea in front of customers.

The goal is not to generate more content simply because AI makes content easier to create.

The goal is to create more intentional sales activity.

Remember: AI Still Needs You

AI can produce incorrect information, misunderstand context and occasionally make confident recommendations that simply do not make sense.

Review everything before publishing, sending or making business decisions.

Be especially careful about entering confidential customer information, payment details, protected information or sensitive company data into an AI platform unless you understand the platform’s privacy protections and your company’s policies.

And perhaps most importantly, do not allow AI to erase what makes a local business different.

Customers still want relationships.

They still appreciate great service.

They still remember when a business owner knows their name.

They still refer companies they trust.

AI should support those relationships and not replace them.

It may simply be using technology to spend less time staring at a blank screen, digging through spreadsheets or trying to decide what to say next, and spending more time connecting with customers, following up with opportunities and growing the business.
